Who we are
The Yard Coventry is run by City Nightlife Ltd, a company registered in England and Wales (company number 16221818). Our registered office is 1 Greyfriars Lane, Coventry, CV1 2GY. The venue is at The Yard, Earl Street, Coventry, CV1 5RU.
City Nightlife Ltd is the "controller" of the personal information described in this policy, and is registered with the Information Commissioner's Office (ICO) under reference ZB948470.
If you have any questions about this policy or your personal information, email privacy@theyardcoventry.co.uk or write to us at the registered office above.
The information we collect
When you contact us
When you use the form on our Contact page, we collect your name, email address, phone number (if you give it), the topic you choose and your message. The form sends this to us by email so we can reply to you.
- Why: to answer your enquiry.
- Legal basis: our legitimate interest in responding to people who contact us, or, if you're asking about a booking or event, taking steps at your request before entering into a contract.
- How long we keep it: up to 12 months after our last reply, unless it becomes part of a booking or a complaint we need to keep a record of.
If you email or phone us directly, we handle your details in the same way.
When you apply for a job
If you choose "Jobs" on the contact form, you can attach your CV. It's emailed to us with your message, and we use it, and anything else you tell us, only to consider you for work at The Yard. It isn't stored on the website.
- Legal basis: taking steps at your request before entering into a contract of employment.
- How long we keep it: up to 6 months after we've finished recruiting for the role, unless you join the team, when it becomes part of your staff record.
When you browse the website
Like most websites, our web server automatically records technical information about each visit, such as your IP address, browser type, the page you asked for and the time. We use this to keep the site running, secure and free from abuse, for example to block spam sent through the contact form.
- Legal basis: our legitimate interest in running a secure website.
- How long we keep it: server logs are kept for up to 30 days, then deleted.
Analytics (only with your consent)
If you accept analytics cookies, we use Google Analytics to understand how visitors use the site: for example, which pages are popular, how people find us and what device they use. This helps us improve the website. Google Analytics gives us statistics, not your name, and it doesn't store your full IP address.
- Legal basis: your consent. Analytics cookies aren't set unless you choose to accept them, and you can change your mind at any time with the Cookie settings link at the bottom of every page.
- How long we keep it: Google Analytics data is kept for up to 14 months, then deleted automatically.
Google may process this information in the United States. See international transfers below.
Marketing emails
If you sign up to our mailing list, or agree to receive offers when you book, we use your email address (and your name and birthday, if you give them) to send you news about events, offers and what's on at The Yard. Our emails only ever come from The Yard Coventry. We send them using Mailchimp (Intuit Inc.), which stores the list for us and may only use it to send our emails.
- Legal basis: your consent. We ask you to confirm your email address before we add you to the list.
- How long we keep it: until you unsubscribe. Every email has an unsubscribe link, or you can email privacy@theyardcoventry.co.uk.
Staff accounts
Our staff log in to a private area of the site to update menus and events. We keep their name, email address and login details only to give them access.
Bookings, tickets and other services
Some services you can reach from our website are run by other companies, who collect your information directly and are responsible for it under their own privacy policies:
- Table bookings: our Reserve a Table page shows a booking form from Reservation.Tools (Reservation Ltd). The details you enter go to Reservation.Tools, who make them available to us so we can manage your booking and contact you about it.
- Christmas bookings: handled by TouchReservation (ICRTouch).
- Event tickets, brunch tickets and gift cards: sold through ByTable.
- Our loyalty app: provided by ICRTouch.
When we receive your booking or ticket details from these services, we use them to provide what you've booked, and keep them for as long as we need to for that and for our accounting records (normally up to 6 years, as UK tax law requires).
Links to other websites, such as our social media pages, the app stores or travel information, go to sites we don't control. Their own privacy policies apply.
Who we share your information with
We never sell your personal information. We only share it with:
- Service providers who help us run the business and website, such as our website hosting provider, our email provider (Google Workspace), Mailchimp for our mailing list, and the booking and ticketing services listed above. They may only use your information to provide their service to us.
- Google, for analytics and to show the map on our website, but only if you allow these cookies.
- Authorities, such as the police or a licensing authority, if the law requires us to.
- A buyer or successor, if our business is ever sold or reorganised.
International transfers
Some of our service providers, including Google and Mailchimp, may process information outside the UK, for example in the United States. Where they do, we rely on the safeguards UK law allows: the UK–US "data bridge" for certified US companies, or the ICO-approved International Data Transfer Agreement or Addendum.
Cookies
Cookies are small files that a website saves on your device. We use as few as we can.
Strictly necessary cookies
These make the website work, keep it secure and remember your cookie choice. The law allows us to use them without asking, and they can't be switched off. They're only used by us and are never shared with anyone else.
| Cookie | What it does | How long it lasts |
|---|---|---|
| the-yard-coventry-session | Keeps the site working as you move between pages, for example when you send the contact form. | 2 hours |
| XSRF-TOKEN | Protects our forms from being misused by other websites. | 2 hours |
| yard_cookie_consent | Remembers your cookie choices, so we don't ask again on every page. | 6 months |
Analytics cookies (optional)
These are set by Google Analytics, and only if you choose to accept them.
| Cookie | What it does | How long it lasts |
|---|---|---|
| _ga | Tells visits apart, so Google Analytics can count visitors. | 2 years |
| _ga_<ID> | Remembers the state of your visit. | 2 years |
Maps cookies (optional)
Our Home and Contact pages can show a Google Maps map so you can find us. Google may set its own cookies and receive your IP address when the map loads, so we only load it if you allow Maps cookies, or press Show map. Until then you'll see an "Open in Google Maps" link instead. See Google's privacy policy.
Cookies from embedded content
Our Reserve a Table page includes a booking form from Reservation.Tools, which may use its own cookies to make the form work. See Reservation.Tools' own privacy policy.
Changing your cookie choices
You can change your choices at any time with the Cookie settings link at the bottom of every page, or the button below. You can also block or delete cookies in your browser settings, but parts of the site may not work properly if you block the necessary ones.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to us using it where we rely on legitimate interests, and to stop marketing at any time;
- receive your information in a portable format (data portability);
- withdraw your consent at any time, where we rely on consent. This doesn't affect anything we did before you withdrew it.
To use any of these rights, email privacy@theyardcoventry.co.uk. We'll reply within one month. It's free in most cases. We may need to check your identity before we act on your request.
Complaints
If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Keeping your information safe
We use appropriate technical and organisational measures to protect your information, including encrypted connections (HTTPS) across the whole website and limiting access to staff who need it.
Children
Our website isn't aimed at children, and we don't knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it last changed. If we make significant changes, we'll make them clear on the website.
